Who we are

This website is operated by Luxwanderstay (“Luxwanderstay”, “we”, “us”, “the Studio”). Luxwanderstay is the data controller for personal information collected through this website and in the course of providing our content and website-design services. Categories of personal data we collect

• Contact and enquiry data — name, business name, email, phone, property details and anything you include in your message.
• Account and project data — details you share while we scope, plan and deliver your project.
• Order and billing data — items purchased, order totals, currency, country and billing address. Card details are entered directly into our payment provider’s hosted checkout and are not collected or stored by Luxwanderstay.
• Support and correspondence — messages you send us by email or through the site.
• Technical and usage data — IP address, device and browser information, pages viewed and referrers, collected through cookies and server logs.

Purposes and legal bases

• Replying to enquiries and preparing proposals — legitimate interests.
• Providing, delivering and supporting the services you purchase — performance of a contract.
• Processing payments, invoicing, tax and fraud prevention — legal obligation and legitimate interests, carried out by our payment processor (see below).
• Sending occasional updates or marketing — consent, which you can withdraw at any time.
• Securing the site, preventing abuse and maintaining service integrity — legitimate interests.

Payments & Merchant of Record

Our order process is conducted by our online reseller Paddle.com. Paddle is the Merchant of Record for all our orders and acts as an independent data controller for payment-related personal data. When you buy from us, Paddle collects and processes your name, billing address, country, email and payment method details in order to take payment, calculate and remit sales taxes, issue receipts, prevent fraud, and handle refunds and billing enquiries. Who we share personal data with

• Paddle — our Merchant of Record and payment processor, for checkout, billing, tax compliance, refunds and fraud prevention.
• Hosting, email and infrastructure providers — for running the website, storing project files and sending transactional email.
• Professional advisers — accountants and legal advisers, where reasonably necessary.
• Authorities — where we are required to disclose information by law.

We do not sell your personal data and we do not share it with third parties for their own marketing.

International transfers

Some of our providers, including Paddle, may process personal data outside the UK / EEA. Where this happens we rely on appropriate safeguards such as UK/EU adequacy decisions or Standard Contractual Clauses.

Retention

Enquiry data is kept for up to 24 months from last contact. Order, invoicing and tax records are kept for at least 6 years as required by law. Project files are kept as portfolio archive, with personal data anonymised on request.

Security

We apply appropriate technical and organisational measures to protect personal data, including encryption in transit (HTTPS/TLS), access controls and authentication on internal systems, principle-of-least-privilege for staff access, secure cloud hosting, and vendors that maintain their own recognised security programmes. Payment card data is handled entirely by Paddle within a PCI-DSS compliant environment and never reaches our servers. No online service can be guaranteed 100% secure, and you use the site at your own risk.

Your rights

Where UK GDPR / EU GDPR applies, you have rights of access, rectification, erasure, restriction, portability, objection and withdrawal of consent, and the right to lodge a complaint with your local supervisory authority (in the UK, the ICO). To exercise any of these rights, email privacy@luxwanderstay.com and we will respond within one month.
